Design supervision: scope and project coordination

01What design supervision means

Design supervision supports project delivery by reviewing implementation against the design. It helps preserve architectural intent and engineering coordination when site conditions raise questions about details, products or existing structures.

For the client, its value lies in a clear decision process. Contractor queries receive a reasoned response, changes are approved and current documents reach the project team. A verbal site discussion should not be the only record authorising a design change.

02Defining the scope

Define design supervision for the specific project and contract. In office fit-out, key interfaces include ceilings, lighting, grilles, partitions, doors, raised floors and maintenance access. Review them before finishes conceal the work.

  • Review contractor requests concerning design decisions.
  • Attend the site at agreed work stages.
  • Record deviations and communicate observations.
  • Assess proposed product and equipment substitutions.
  • Coordinate design changes through the agreed process.
  • Review samples and mock-ups where included in scope.

Specify who issues revised drawings and what redesign is included. A substantial brief change may require additional design work rather than advice during a site visit.

03Design supervision and quality control

These functions have different purposes. Design supervision focuses on compliance with design decisions and their correct implementation. Construction quality control addresses the execution of work under the applicable requirements and assigned responsibilities. Programme, procurement and payment management are not automatically part of design supervision.

Create a responsibility matrix for installation checks, concealed-work acceptance, substitution approvals and document updates. One participant may hold several roles, but each needs a defined basis, authority and output.

The designer's presence does not remove the contractor's responsibility for workmanship. Quality control does not replace approval of design changes either.

04Site visits and change management

Link visits to milestones: partition setting-out, service routing, ceiling closure, complex details and mock-up reviews. Frequency depends on pace and complexity. A fixed visit allowance without programme alignment can miss a critical stage.

A change request should reference the drawing and include a reason, photographs or a sketch, and a proposed solution. Equipment substitutions also need performance and compatibility information. Complete requests make coordination more efficient.

Record the decision, revision owner and affected documents. Use current drawings on site and withdraw superseded copies from working sets. Track observations until closure is confirmed, rather than stopping at the initial notification.

05Client outputs and practical questions

Useful outputs include recorded observations, query responses, approved changes and a clear status of unresolved issues. Agree reports and records with regard to applicable requirements and the contract. Photographs locate an issue but do not replace a written decision.

Is supervision useful for a small office? Area is not the only consideration. Complex details, specialist finishes, dense services and occupied-building works can make ongoing designer involvement valuable.

Can it be remote? Some queries can be resolved through drawings and good photographs. These may not reveal actual conditions or concealed interfaces. Agree the balance of site and remote work in advance.

Does it include accepting all work? Not automatically. Define handover participation and checks explicitly. Design supervision should not be presented as a universal construction quality guarantee or a replacement for every client responsibility.
